Our client a leading investment management firm in Uganda, dedicated to providing exceptional investment solutions to clients is searching for a Finance Assistant to support their Managing Director in a highly organized and professional, efficient and effective management of daily responsibilities. The Ideal candidate should provide comprehensive administrative and executive support to the Managing Director, ensuring the smooth and efficient operation of the office.

Job Summary:

The Finance Assistant will play a crucial role in supporting the smooth and successful operation of our client’s diverse business holdings. The Finance Assistant will also provide essential administrative and operational support to the management team across multiple business units within the company’s investment portfolio. This role requires a proactive, detail-oriented, and highly confidential individual with excellent communication and interpersonal skills, strong organizational, and problem-solving skills.

The Finance Assistant will be responsible for overseeing all financial aspects of the company’s operations. This role requires a strong analytical and strategic thinker with a proven track record of success in financial management and accounting.

Job Responsibilities:

Diary and Schedule Management:

  • Manage the Managing Director’s schedule, including making and managing appointments, meetings, and when necessary, travel arrangements.
  • Ensure timely preparation and distribution of meeting materials.

Communication and Coordination Management:

  • Handle all incoming business calls and emails, responding to inquiries as appropriate.
  • Compose and prepare correspondence, including letters, memos, and presentations.
  • Effectively communicate with internal and external stakeholders, including client contacts, team members, and vendors.
  • Coordinate communication and information flow between portfolio clients and the company
  • Build and maintain positive working relationships with colleagues across departments

Administrative Support:

  • Maintain accurate and organized records, including expense reports, compliance documents finance documents.
  • Coordinate office logistics, including office supplies and equipment.
  • Assist with the preparation of presentations and reports.
  • Maintain accurate and up-to-date records and compliance filings for each client and the company.

Operational Support:

  • Assist with the day-to-day operations.
  • Assist with project coordination and implementation within designated clients.

• Data Entry and Management:

  • Maintain accurate and timely data entry into company databases and systems.
  • Generate reports and analyze data as required.

• Problem-Solving:

  • Identify and resolve administrative and operational challenges proactively.
  • Provide solutions to improve efficiency and streamline processes.

• Financial Planning and Analysis:

  • Oversee the daily operations of the finance department.
  • Develop and implement financial strategies and budgets in alignment with company objectives.
  • Conduct financial forecasting and analysis to identify trends, assess risks, and inform strategic decision making.
  • Prepare and analyze financial statements, including income statements, balance sheets, and cash flow statements.

Financial Reporting:

  • Ensure timely and accurate financial reporting to management and relevant stakeholders to the management Company
  • Prepare and file all necessary tax returns and regulatory filings. Both Uganda Revenue Authority and Uganda Registration Services Bureau
  • Maintain strong internal controls and ensure compliance with all relevant accounting standards and regulations.

Financial Management:

  • Oversee all aspects of accounts receivable and accounts payable.
  • Manage cash flow and ensure the company maintains adequate liquidity.
  • Monitor and control expenses to optimize profitability.

Investment Performance Tracking:

  • Track and analyze investment performance across all portfolios.
  • Prepare performance reports for investors and other stakeholders.

Project Coordination:

  • Provide support on special projects as assigned by the Managing Director.
  • Assist with the coordination of events and meetings.

Confidentiality and Discretion:

  • Maintain the highest level of confidentiality regarding all sensitive information.

 Requirements:

  • Bachelor’s degree in finance or any equivalent
  • 1-2 years of working experience in finance related filed
  • Ability to draft and prepare financial documents
  • Knowlege in with the Ugandan financial systems
