Job Summary
The accountant is responsible for accurate bookkeeping, financial reporting, reconciliations, payroll,
receivables, payables and preparation of books for audit. The Accountant prepares and verifies
transactions; the Managing Director or an authorised approver retains payment and expenditure
approval. External auditors remain responsible for the audit opinion.
Key Responsibilities
Bookkeeping and Financial Reporting
- Record approved income, expenditure, cash and bank transactions promptly in the accounting
system, supported by invoices, receipts and approval records. - Maintain ledgers and prepare monthly management accounts, including profit and loss,
financial position, cash flow and explanations of significant variances. - Maintain a project cost file for each event, reconcile advances after completion and report
actual expenditure against the approved budget.
Payroll and Statutory Compliance
- Prepare monthly payroll from approved staff records and confirmed attendance; process
authorised deductions and maintain confidential payslips and payroll schedules. - Prepare and submit applicable URA returns, PAYE and NSSF documentation, working with
the designated tax consultant where necessary. Maintain a calendar of current filing and
payment obligations. - Obtain approval and funding before statutory payments; retain submission acknowledgements
and payment evidence, and immediately escalate outstanding liabilities or missing
information.
Payables Receivables and Cash Control
- Verify supplier invoices against approved orders, delivered services and supporting
documentation before recommending payment. Maintain supplier balances, agreed terms and
due dates. - Issue authorised client invoices, allocate receipts, maintain receivables ageing and coordinate
collection follow-up with Client Relations and management. - Reconcile bank and other approved payment channels monthly; investigate differences and
keep unresolved items visible to management. - Maintain petty cash and advance registers, verify claims against receipts and approved
attendance, and safeguard cash according to the company’s approval arrangements.
Audit Preparation and Equipment Costing
- Prepare the trial balance, ledger schedules, reconciliations and supporting documents needed
by external auditors and track agreed responses to audit queries. - Maintain a fixed asset register with the Storekeeper and Operations Manager, recording
purchases, location, custody, condition and approved disposals. - Develop equipment cost information covering acquisition, repairs, maintenance, transport and
utilization to support hire pricing and project costing. The Operations Manager retains
responsibility for operational estimates and feasibility. - Maintain supplier documentation and provide financial analysis of payment terms, margins
and cash commitments before management decisions.
Job Requirements
- Degree in accounting, finance or another relevant business course.
- CPA second level or above, or equivalent ACCA progress. The recruiter should verify the
actual papers completed rather than assume the two qualification structures are identical. - Demonstrated ability to reconcile accounts, use spreadsheets and maintain clear accounting
records. Practical exposure to payroll, tax returns or audit preparation is desirable. - Experience in marketing or events is an advantage. Potential, integrity, attention to detail and
willingness to learn should carry meaningful weight in selection. - Ability to work with confidential information, meet deadlines, explain financial matters
clearly and accommodate planned event-related work.
Performance Expectations
- During the first 30 days, review existing records and agree a work plan. By 60 days, establish routine reconciliations, payroll and compliance tracking. By 90 days, present a management reporting pack and priority improvement actions. Final deadlines and measurable targets will be agreed after the records review.
